Hospitality Uniform Programs Built for Turnover
Give each person three tops and reorder from the design on file, and one property can run a hospitality uniform program without buying a case of mediums it doesn't need. The role capsules are below, along with a 60-room hotel priced at $2,005.76.
Hospitality uniforms tend to fail six months after a first order that went fine. A server leaves, two housekeepers join, the new front-desk lead is a 3XL and the supplier wants a full case per style before it'll reorder. The property then buys mediums it doesn't need, or the new hires wear whatever's in the back room, and guests notice when they do.
A program built for turnover from day one keeps the design on file with your colorways and size history, and every reorder then needs only a quantity and an address.
Three role capsules under one crest
A property needs different garments for different jobs, but one palette and one mark across all of them. A guest should read a housekeeper and a concierge as the same team without checking a name badge.
Front of house
This capsule covers the front desk and concierge, plus servers and bar staff. The piqué polo does most of the work, and it's $20.18 with a printed crest. It's 200 GSM combed cotton with a tailored cut and a split hem, and it takes a print or embroidery, though embroidery suits a check-in desk best. It runs true, and anyone between sizes should size down because the piqué relaxes half a size after two washes. Front desk and concierge add the button-up shirt, $28.37 with a print, in 140 GSM cotton oxford for a dressier register. Embroidered, the crest sits at the left chest at 5,000 to 12,000 stitches, in thread one shade off the garment, and we price that stitching in one business day.
Back of house
Housekeeping, kitchen support, maintenance and grounds wear the tee in 220 GSM combed ring-spun cotton, $17.02 with one print. Put it in the property's darker secondary color and it hides a shift's work. The tee runs true and people should order their normal size. A small embroidered mark or a DTF print keeps it on brand. Outdoor roles add the cap, $10.85 with a print, which is one size and fits 54 to 61 cm.
Management and sales
The general manager, duty managers and sales each get two button-up shirts, plus a polo for casual days, all with the same crest. The shirt is tailored but forgiving, and anyone with broad shoulders should size up. Management in the same mark as the team, on a better garment, reads as part of the team and still as the people in charge.
Reorders come from the file.
A program differs from a purchase in what happens after the first order. The design and size history stay on file, and every new hire becomes a reorder. Tell us the quantity and each polo arrives with their name on the sleeve.
The rule to build into hiring is to order when the offer is accepted, well before the start date. Once you approve the order we need three weeks to make it and two more to ship it. A hire signed six weeks out walks in dressed on day one.
Orders start at 15 pieces, which any property clears on polos alone. If you do need fewer, tell us what you have in mind.
XS to 4XL at one price
Every product runs XS through 4XL at the same price. Hospitality teams are more size-diverse than most office teams, and a surcharge above XL tells part of the staff they're an inconvenience. Collect sizes on the Design Studio share link, where each person sees the garments and picks, and let people update a size at reorder without asking a manager. The sizing guide covers fit types and the collection process.
Care and washing for daily-wear uniforms
Uniforms get laundered more than any other garment you'll buy, so pick the decoration and the fabric for it.
- Embroidery is a raised satin stitch that outlives the garment, and it's the default for polos and shirts.
- DTF print has a flush finish and is rated for 50-plus washes without cracking. Use it on back-of-house tees where you want a full-color mark, and on polos and shirts, which take prints as well.
- Fabrics are OEKO-TEX certified combed cotton. The short version of the care routine in the fabric guide is to wash cool, tumble low or hang, and keep polos out of the hottest dryer setting.
- Defects are remade free if you report them within 30 days of delivery with a photo.
One piece changes per season.
A property with a summer and a winter register keeps the crest and swaps one piece. In summer that piece is the polo in the lighter colorway. In winter it's the zip hoodie, $25.22 with a print, for valet and the early-morning front desk, or the sweatshirt for a softer look, which we price in one business day. Both are 330 GSM fleece and cut roomy. The winter layer can go on the first order or come later as a reorder from the same file.
What a 60-room hotel costs to outfit
The hotel's thirty-two staff are six at the front desk and concierge, ten in food and beverage, ten in housekeeping, two in maintenance and four managers. Daily-wear roles get three tops each and shirt-wearing roles get two shirts. The table prices the crest as a DTF print on all 116 pieces, and an embroidered crest would take the place of that print fee on the quote.
| Line | Who | Qty | Unit | List |
|---|---|---|---|---|
| Piqué polos | 16 front-of-house, three each | 48 | $20.18 | $968.64 |
| Button-up shirts | 6 front desk and 4 managers, two each | 20 | $28.37 | $567.40 |
| Tees | 12 back-of-house, three each | 36 | $17.02 | $612.72 |
| Caps | Valet, patio, pool, maintenance | 12 | $10.85 | $130.20 |
| Total | 116 | $2,278.96 |
116 pieces clears 50, so every piece in the order takes 12% off. The polo drops to $17.76, the shirt to $24.97, the tee to $14.98 and the cap to $9.55, and the order comes to $2,005.76, a saving of $273.20. That's $62.68 for each employee, or $33.43 for each room, with design and decoration inside the number, and an order this size ships free.
Add a winter layer of 34 zip hoodies (one per employee plus two spares) to the same order and it reaches 150 pieces and the 22% tier, where the whole order comes to $2,446.50. The hoodies add $440.74 to the bill, or $12.96 for each one against a $25.22 list price, because they pull every other piece into the deeper tier too.
For the turnover budget, assume a third of the staff turns over in a year. That's about 11 replacements at three polos each, or 33 polos reordered from the file one hire at a time. At list, 33 polos at $20.18 come to $665.94 for the year. We quote each reorder when you send the quantity, and the tier rules are in the pricing guide.
The hospitality uniform runbook
- Brief the Studio with your crest and lobby photos. It designs a collection across all eight products, and a designer on our team finishes it.
- Hold samples under your lobby lighting. If you want to see the pieces before the bulk run, a sample set costs extra and adds about two weeks.
- Collect sizes on the share link with a five-day deadline and a stated default.
- Plan the first order 8 to 10 weeks before you need everyone dressed. Much of that window is yours, because the design stage moves as quickly as you approve things.
- Write the reorder trigger into the hiring checklist, where a signed offer means a uniform is ordered.
- Review once a year by re-collecting sizes and rotating one seasonal piece while the crest stays the same.
- Store the runbook where whoever holds the role next can find it.
For properties in hospitality that run this loop, uniforms stop being a procurement event and become one line on the hiring checklist.

Questions we get.
How many uniform pieces does each hospitality employee need?
Three tops per person for daily-wear roles: one on, one in the wash, one spare. Front desk and management roles in a button-up shirt need two shirts plus a polo for casual days. Back-of-house roles need three tees. Caps go only to outdoor roles such as valet and patio.
How do I handle uniforms when hospitality staff turnover is high?
Lock the design once, then treat every new hire as a reorder. Because your design and size history stay on file with us, all we need is the quantity, and you never hold a closet of guessed sizes. The three weeks of production for a server's polos start when you approve the order, shipping takes two weeks after that, and each polo arrives sleeved with their name.
What does a uniform program cost for a 60-room boutique hotel?
$2,005.76 for 32 staff, with the crest printed on every piece. That's a first order of 116 pieces (48 polos, 20 button-up shirts, 36 tees, 12 caps) at $2,278.96 list, with 12% off each piece for clearing 50. It works out to $62.68 for each employee or $33.43 for each room. An embroidered crest is priced in one business day.
Will the uniforms survive daily washing?
Yes. The polo is 200 GSM combed cotton piqué and the tee is 220 GSM combed ring-spun cotton, both chosen to hold shape and color through routine laundering. Embroidery outlives the garment, and DTF prints are rated for 50-plus washes without cracking. Fabrics are OEKO-TEX certified, and a defect reported within 30 days with a photo is remade free.
